In a world of increasingly complex interactions, the need for a standardized approach to managing projects has never been greater. Business models are constantly evolving. The benefits of businesses building their own business models are highlighted by managing projects effectively. The advantages of establishing a PMO rely on a culture that aligns with business objectives. Success also depends on a supportive leadership team and well-defined project goals.

There are project management standards that can be applied to every project. Each must be individually applied to meet the needs of each unique project. There is no ‘one size fits all’ approach to project management. The team needs to understand both the unique needs of the project. They must also know how to wield each tool to be successful.

PMO architecture design takes into consideration existing architectures, tools, priorities, and constraints of the environment.

Deciding if you need a Project Management Office (PMO)
According to Egeland (2013), at least two out of three criteria should be met. This is necessary before considering the construction of a project management office. These same criteria can also be used as guidelines. They help determine if a project management approach is proper or if other business strategy alternatives should be explored. Initiatives that need to share resources and have the capacity to support high-end communication are good candidates. Initiatives with a complexity level that benefits from central control are also good candidates for the project management approach.

Santosus (2013) provides a list of benefits in having a project management office. Using project management tools is also beneficial. These tools need to be aligned with the business need and capacity to support. When the business needs and capacity are aligned, it becomes possible to present a strong business case. This case is for developing a project management office and using project management tools. It can be presented to the leadership team.

Presenting the business case to the leadership team requires careful consideration of several factors. These include the business needs, project areas to be supported, and benefits expected. Additionally, it’s essential to consider the systems and supports needed to successfully manage projects and a project management office. A shared understanding of the project management team’s role is crucial. It is just as important as communicating the value of having a project management office.
The project manager as a process owner (but not people manager) is increasingly valuable in matrix-based organizations. In these settings, teams, areas of ability, and resources are often shared. The project manager owns the process. They manage the planning tools. The customer, sponsor, and project champions own the decisions. These stakeholders have the authority. These roles must be ‘owned’ and ‘mastered’ in order for the project resources, plans, and responsibilities to be successfully executed.

The graphic illustrates five steps. These steps are for pitching the business case, building the necessary relationships, and identifying the tools, processes, and structures needed. These elements are essential to successfully build a project management office.
Executive buy-in becomes crucial not only for forming the PMO but also for establishing its authority. It is essential for bringing
OVERVIEW OF THE PROJECT MANAGEMENT PLAN GENERATOR
The Project Management Plan Generator includes the following steps (and strategic planning components) listed below. Additional tools, resources, and options are available to members. Feel free to contact us with additional questions or to schedule a Workshop at [email protected].
Initiating
The Initiating Process Group includes processes to define a new project. It also defines a new phase of an existing project by obtaining authorization to start the project or phase.
Planning
The Planning Process Group consists of processes performed to establish the total scope of the effort. They also define and refine the objectives. Additionally, they develop the course of action required to attain those objectives. The Planning processes develop the project management plan and the project documents that will be used to carry out the project
Executing
The Executing Process Group includes processes performed to complete the work defined in the project management plan. This work is conducted to satisfy the project specifications. This Process Group involves coordinating people and resources. It also entails managing stakeholder expectations. Additionally, it includes integrating and performing the project activities in line with the project management plan.
Monitoring & Controlling
The Monitoring and Controlling Process Group includes processes required to track, review, and orchestrate project progress. These processes evaluate performance. They help identify any areas needing changes to the plan. They also initiate the corresponding changes.
Closing
The Closing Process Group consists of processes performed to conclude all activities across all Project Management Process Groups. These processes formally complete the project, phase, or contractual obligations. This Process Group, when completed, verifies that the defined processes are completed within all of the Process Groups. It ensures that the project or a project phase is closed, as appropriate. It formally establishes that the project or project phase is complete.
